The following hotels are included in the AALAS block. Reservations for housing within this block can only be made through the Online Housing Registration link at right.

San Diego Hotel Tax
Room rates are subject to all applicable taxes currently 12.58%. (Subject to change.) Plus a $0.23 CA Fee per night.

Deposit
Each hotel has the option to charge one night’s room and tax after Friday, September 2nd, 2011, once the reservations have been transferred from the Housing Bureau.

Cancellation Policy
A room reservation secured with a credit card has until September 16, 2011 (5pm EST) to cancel without penalty (unless otherwise indicated by your assigned hotel). A room reservation cancelled on or after Friday, September 16, 2011 will be charged $50 per room regardless of when the initial room request was received. FAILURE TO CANCEL A ROOM RESERVATION BY 3PM (EST) SEVEN DAYS PRIOR TO YOUR ARRIVAL DATE OR NO SHOWS WILL FORFEIT THE DEPOSIT OF ONE NIGHT ROOM AND TAX.

Guests wishing to avoid an early checkout fee of $75 should advise the Hotel at or before check-in of any change in planned length of stay.

Reservation Confirmation
Please do not call to verify your hotel reservation until September 26, 2011. It will take a few days for hotels to process reservations from the Housing Bureau. Rest assured that if you have received a confirmation number from the Housing Bureau, the hotel will honor your booking. Thank you for your consideration.

Though AALAS in the past has used a travel agency to get discounted airfare for National Meeting attendees, we discovered that you can get the best rate by dealing directly with the airlines. To tighten operation expenses, airlines often bypass travel agencies and encourage customers to buy tickets online. Though you can still obtain tickets from your personal travel agency, you’re more likely to get a better rate through the airlines’ websites:

Badges

Your name badge and MeetingPlus card are credit-card size plastic cards that you receive at the registration counter. Name badges are issued to all registered attendees to access education sessions (except workshops), access the exhibit hall, and to record your contact information at vendor booths.

You will be issued a second card if you are designated to receive any of the following:
• Workshops
• Workshop bus tickets
• Ribbons (for leadership, committee member, Registry member, award winner, moderator, facilitator, etc.)

Each card has a magnetic strip on the back encoded with your name, address, and other contact information. However, each card serves a different function; be sure to keep track of both cards. Your name badge holder, which is issued with your card(s), is a great way to store and display your cards.

Safety Tips

By following these simple tips, you are sure to have a fun, and most importantly, safe visit in San Diego.

  • Always be aware of your surroundings as you walk to and from the convention center. If you see something suspicious, don’t hesitate to alert security. That’s why they are there.
  • Remove or conceal your name badge when leaving the convention center.
  • Never walk/travel alone.
  • Demonstrators seek media attention. Some may try to provoke a confrontation, which produces prime visuals for TV cameras. This just escalates the attention the activists receive. Don’t give them the satisfaction of reacting; remain calm and cool.
  • Never make physical contact of any kind with an activist or demonstrator. If you do, the risk of a lawsuit being filed against you for assault and/or battery is very probable.

AALAS has made arrangements with security and law enforcement officials to handle any public response to pickets or demonstrators, if it is necessary. Do not participate in news interviews on the subject, particularly in the presence of TV cameras. Refer all requests for interviews to AALAS staff members, who will in turn summon one of AALAS’ official spokespersons.

Help AALAS Avoid Hotel Penalties

Few new convention hotels have been built in the past 10 years. As a result, there is now a greater demand for hotel rooms than there are rooms available. Thus, the negotiating practices of associations booking conventions have changed. Hotel contracts now all include an attrition clause that says AALAS must guarantee to sell between 80 and 90 percent of the rooms reserved for the meeting. As rooms are reserved with the Housing Bureau, they are removed from the room inventory, causing the inventory to show that all rooms are filled when more rooms are actually available. If all the rooms are not used, AALAS pays a penalty.

What does this mean for you? It means if you cancel your room reservation at the last minute, the room goes unsold and the association may have to pay for it. In the past, we have had what the industry calls “slippage”—hotel rooms that were reserved and not used because attendees reserved more rooms than they plan to use.

Please also be aware of the early departure fee. If you leave early, the hotel may charge you a fee of up to one night’s stay for early departure.
